1. Who is responsible
The controller responsible for this website, the KEEPIQ shop and related customer services is the provider identified in the Impressum.
Data stored locally on your KEEPIQ appliance is not controlled by KEEPIQ and is not accessible to us through the normal operation of the product.
2. Data on your appliance
Your inventory and other appliance data — including items, rooms, floor plans, photos, projects, history and configuration — is stored locally on your device.
KEEPIQ does not transmit this inventory data to us.
Optional integrations that you choose to enable may transmit data to services or systems you configure. Depending on the integration, this may include:
- Cloud sync — data is sent to the database or service you configure using your own credentials.
- AI assistant — prompts and the inventory context required to answer them may be sent to the AI provider you configure.
- Home Assistant, Alexa or Telegram — relevant data may be exchanged with the endpoints or services you configure.
Optional integrations are disabled by default and can be disconnected or removed through Settings.
Third-party services process data according to their own terms and privacy policies. KEEPIQ does not control how an independently selected third-party provider processes data you choose to send to it.
3. Licence checks
Where an online licence check is required, the appliance contacts the KEEPIQ licence service only for information necessary to verify the licence or entitlement.
This may include the device identifier, product or entitlement identifier, and the time of the licence check. We retain the information necessary to validate, manage and, where applicable, restore purchased licences.
Inventory contents, photos, floor plans and other locally stored inventory data are not transmitted as part of a licence check.
4. This website
When you visit the KEEPIQ website, our hosting and infrastructure providers may process technical information required to deliver and secure the service. This can include your IP address, user agent, requested URL, date and time of the request, and related technical information.
This information is used for service delivery, security, diagnostics and protection against abuse and is retained only for the period required for those purposes.
Where applicable, the legal basis is our legitimate interest in operating and securing the website under Article 6(1)(f) GDPR.
5. Purchases and support
When you purchase KEEPIQ products or contact us for support, we process the information necessary to handle your order, provide support and meet our legal obligations.
Depending on the transaction or enquiry, this may include your name, billing and delivery address, e-mail address, order information, licence records and correspondence.
Payment information is processed by the payment provider used at checkout. KEEPIQ does not receive or store your full payment-card details.
Contract-related processing is based on Article 6(1)(b) GDPR. Information that must be retained to comply with accounting, tax or other legal obligations is processed under Article 6(1)(c) GDPR and retained for the applicable statutory period.
Support correspondence is retained only for as long as reasonably necessary to handle the enquiry and any related legal or operational requirements.
6. Your rights
Where the GDPR applies to our processing of your personal data, you may have the right to request:
- access to your personal data;
- rectification of inaccurate data;
- erasure of your data;
- restriction of processing;
- data portability; and
- objection to processing based on legitimate interests.
Where processing is based on consent, you may withdraw that consent at any time without affecting the lawfulness of processing carried out before withdrawal.
You also have the right to lodge a complaint with the competent data protection supervisory authority.
Contact details for exercising your rights are provided in the Impressum.
7. Changes to this policy
We may update this Privacy Policy when KEEPIQ, this website or our data-processing practices change.
The “Last updated” date at the top of this page identifies the current version.
